In Macola when posting, you have the option to post from a fixed length ASCII file, into Progression General Ledger. You can create this ASCII file with the GL Journal ASCII Import Excel Spreadsheet. Why spend hours entering a journal entry line by line each month, when you can create all your Journal entries in an excel spreadsheet and then just import them into Macola. Furthermore, you can set up templates to use each month which makes it even simpler.

Once you have entered all the values for your Journal entry into excel, then just push the 'Create ASCII File' button and the ASCII file will be created in the proper Macola Directory and is ready to post.(Only one person can use this at a time) Before creating the ASCII file, the spreadsheet will ensure that all dates are actual dates, all fields are the correct length, the journal is balanced or not, and that dollar amounts are numeric. If there are problems, the spreadsheet will identify them with a yellow background and a cell note describing the problem. Just correct the problems and try to create the ASCII file again.
That's it. its quick and easy, and with the time you will save, it will pay for itself in only a few months.


How To: Top

If you saved the GL ASCII Import.xls as a template then:
Open Excel
From the File Menu Select New
From the Templates, choose GL ASCII Import

If you saved the GL ASCII Import.xls as just a spreadsheet, then:
Open Excel
Open the GL ASCII Import.xls


Select the 'SUMMARY' Sheet and enter the:
Macola Main Acct Length
Macola Sub Acct Length
Macola Dept Acct Length
Main Macola Directory
Macola Company Number

Next enter your journal entry into one of the 15 Journal entry sheets.
'Trx Source', 'Trx Reference' and 'Job Number' are optional columns to enter data.
When finished entering your Journal Entries, click on the 'SUMMARY' sheet and check the Journal Entries you want to import and then click on the 'Create ASCII File' button.
This will create and place the GLDISASC.DAT file in the company you set up on the 'SETTINGS' sheet. You can now Post From Sub Ledger in Macola and the ASCII file Journal entry will be posted.
Open Macola, choose the correct company and Select 'General Ledger - Processes - Post From Sub Ledger . . .' Then click on 'ASCII Interface?' and click on 'OK' to post.
*Be sure no one else creates the GLDISASC.DAT file before you Post From Sub Ledger in Macola, as they will overwrite your file.
